Job Description

BASIC OBJECTIVE
•Ensure high level of proper coordination and communication is implemented on a timely manner regarding office maintenance
•Attends to the needs of the Managing Director from time to time

RESPONSIBILITIES:

I.Daily Activities
A.Maintain high confidentiality of the activities and files of the company and the Managing Director
B.Perform daily checking of company email as well as forwarding necessary mails to concerned personnel and replying as per instruction of superior, update the same to General Manager all official mails.
C.Attend to incoming calls, preparation of letters, memorandum, and facsimile messages.
D.Perform proper scheduling of Managing Director’ itineraries as well for General Manager, and Customercare section; take minutes of the meeting, greet and attend promptly to the needs of visitors
E.Day to day Personal Work for MD
F.On time monitoring of payment such Etisalat, Dewa, Salik, and other bills related.
G.Credit Card Management (Portpass, mukalifa, salik, DP World,
RTA vehicle renewals)
H.Sending daily reports to CEO ( Operation, Customercare, Accounts, Garage and other necessary report)
I.Monitoring the report of Operation, Customercare, Accounts, Garage and other necessary report if updated. ( Utilization, Logsheet, Accounts Petty Cash, GCC petty Cash, Garage Petty Cash, petty Cash)
J.Request of Insurance for vehicle Renewal
K.Reconciliation of Credit Card statement and Actual bills


II.Monthly ActivitiesA.Monthly filing and monitoring of company’s profit and loss statement of Accounts
B.Submission of monthly report for DEWA, Etisalat, ATTENDANCE of all sections
C.Handle and update all files like Sponsorship, Properties, Skywards, Aviation Club, Credit Card Usage. etc.
D.Payment and monitoring of CUG Sim Cards
E.Maintain high standard of cleanliness of the office and good quality of the office equipment
F.Coordinate with concerned section regarding work requirements as assigned by the Managing Director

III.Special Tasks

A.Maintain School and Medical records of MD’s family
B.Maintain all Personal Important file of MD’s family such Passport, Emirates ID and other related doents and MD’s personal vehicle.
C.Perform other duties which may be assigned by the Managing Director from time to time
D. Has Knowledge about real estate
