Job Title: Facilities Management Executive & Resources
Company: Qurum Business Group (QBG) – Integrated Facilities Management
Location: Muscat, Oman
Purpose of the Role:
- Part of the Facility Management Department of QBG-IFM. Responsible for overseeing and providing support for QBG FM operations, ensuring efficiency and compliance with company standards. The role involves coordinating with clients, vendors, and internal teams to meet facility and operational requirements.
Key Responsibilities:
- Prepare cost estimates for new proposals and follow up with clients for timely responses.
- Arrange meetings with clients and vendor partners to discuss facility requirements and collaborations.
- Obtain quotes for specialized AMC services and schedule meetings to evaluate service providers.
- Handle petty cash and collect bills from the site team for approved requirements, in coordination with the Operations team.
- Manage staff accommodation rent agreements (renewals and terminations) and coordinate with landlords with support from the HC team.
- Coordinate the recharging of electricity and water bills for staff accommodation with the Finance team.
- Ensure contract agreements of existing clients are up to date and prepare new agreements for prospective clients.
- Verify and update vendor partner manpower supplier agreements based on site requirements and final attendance.
- Prepare salaries for Omani Staff and Site Staff.
- Organize events in support of the marketing team.
- Generate monthly sales reports.
- Prepare AMC contract agreements based on approved prices.
- Manage the issuance of uniforms for site staff, maintain accurate records, and reorder uniforms as needed to maintain stock levels.
Qualifications:
- Bachelor's degree in Business Administration or a related field (preferred).
Skills & Knowledge:
- Proven experience in facilities management, operations coordination, or a similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite, Canva, and other relevant software.
- Knowledge of facilities and operations management principles.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Strong English communication skills (verbal and written).
- Time management and task prioritization.
- Management and negotiation skills.
