Position supervises Vending Machines Technicians, operations supervisors, drivers, and re-fillers in addition to partial supervision to warehouse employees. Maintains personnel records, daily routs directions, timely re-filling, cleanliness of machines, accurate pricing of products in each machine, ensures Vending Technicians are following all necessary training and certifications. Schedules maintenance actions and prioritizes work orders. Effective time management implementation to ensure tasks and assignments are effectively executed and to reduce overtime or compensate for it by extra hours terminology. Ensure that all employees have a valid food handling certificate and health cards. Ensure that all needed items whether related to staff uniform and hygiene or machines cleanliness or spare parts are available and part of the warehouse items. Communicate operational and statistical reports monthly and as required. Participate in hiring the most professional, service-oriented, dedicated, highly skilled, trained staff available. Effective Participation in the company strategic planning and execution as one of the company important team members and serve as the “senior advisor” for the company with respect to operations functions.


Candidate Requirements

•Oversee daily operations including but not limited to staff attendance, vehicles readiness, stuff collection from warehouse, route scheduling, route efficiency, procedures for opening and closing of machines in addition to any required maintenance.
•Maintain safe and secure environment.
•Provide coaching and skill development to employees on a consistent basis.
•Leverage systems, equipment, and process redesign to drive continuous improvement.
•Maintain and provide quality customer service.
•To Ensure full development plan of the operation department is created and executed in a timely manner.
•Provide first line supervision to employees.
•Ensure that the technician can handle any needed repair for any machine and replace spare parts effectively.
•To ensure that effective attendance recording is in place and communicated to the Human resources Department maximum by 25th of the month.
•Effective time management implementation to ensure tasks and assignments are effectively executed and to reduce overtime or compensate for it by extra hours terminology.
•Ensure that all staff and employees will be carrying their QID, Health card, license, and food handling certificate always (Can be in the van).
•Ensure that all staff and employees are using the company uniform and that it’s tidy.
•Ensure employees follow local regulations required to perform their duties.
•Ensure that all employees are aware that their transport vehicle is equipped with GPS.
•Ensure that all the Operation Department official doents are valid and renewed periodically prior to its expiration whether those doents related to asset or employees themselves.
•Observes thermometer and adjusts temperature gauges in vending machine to maintain items at specified temperatures.
•Effective Preventive maintenance schedule and effective implementation to avoid operation disruption and loss due to mechanical issues.
•Effective participation in hiring procedures for the department various positions as stipulated in the Human Resources Department.
•Effective follow up process (Set a specific completion deadline for every assignment) and time management techniques.
•Ensure that a record of all machines is on hand and any change of the company assets will be recorded and communicated to all concerned.
•To Ensure that the monthly statistics report is effectively generated and reported to Finance Manager and the Deputy General Manager.
•Ensure that machines allocation is executed brilliantly and distributed strategically.
•Ensure that machines will be cleaned daily.
•Ensure that products are placed strategically in all machines.
•Ensure that all products are placed and are priced correctly (Correct price for any specific item/product).
•Ensure that all product’s expiry date will be checked, traced, and removed (If it will expire within one month) from machines.
•Ensure that the received products from the store are in line with the store’s requirements.
•Secure inventories by executing controls and ensuring strict compliance.
•To ensure that segregation of duties is effectively applied.
•To Ensure full compliance with the company set SOPs and Procedures.
•To Ensure that standard forms are effectively used by all the administration departments of the company.
•To supervise that monthly, quarterly, mid-year and full year inventories are effectively executed.
•To ensure that cash payments are reduced to the minimum and replaced by credit facilities.
•To ensure that correct backups are attached to all invoices.
•To Ensure that all expenses are preauthorized and that all back ups are attached with any expenses report.
•Cost control oriented.
•Establish a recommend to management major economic objectives and policies for the company.

Supportive Function:
•To assist Credit Control / Member of Credit Committee.
•To assist Payroll clerk.
•To assist during Month End Closing.

Responsibilities and Authorities:
•Employee relations: Maintains good relations with all operation employees, department heads and senior management.
•Equipment: Responsible for the proper handling of computer back-ups.
•Business contacts: The Company Suppliers, vendors, accoun, senior management, and owner.
Specific Job Knowledge, Skills, and Abilities:

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

•Requires good communication skills, both verbal and written.
•Most tasks are performed in a team environment with the employee acting as a team leader. There is minimal direct supervision.
•Must be able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
•Must be able to write reports, business correspondence, and procedure manuals.
•Must be able to effectively present information and respond to questions from groups to managers, clients, customers, and ownership.
•Must be able to apply mathematical operations to such tasks as frequency distribution, analysis of variance, correlation techniques, sampling theory, and factor analysis.
•Must be able to define problems, collect data, establish facts, and draw valid conclusions.

Education:
Bachelor’s degree required. 3-5 years’ experience in the same field is a must
Must be proficient in Microsoft Word, Microsoft Excel, power point and other applicable computer systems
