Job Description

"Reception and Front Desk Duties:
Greet and welcome visitors, clients, and employees, ensuring a professional and friendly atmosphere.
Answer and direct phone calls, take messages, and provide accurate information to callers.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain the reception area, ensuring it is clean, organized, and presentable.
Administrative Support:
Assist with general administrative tasks such as data entry, filing, scanning, and doent management.
Prepare and distribute correspondence, memos, letters, and other doents as required.
Schedule and coordinate appointments, meetings, and conference room bookings.
Assist in the preparation of reports, presentations, and meeting materials.
Manage office supplies inventory, order replacements, and ensure stock availability.
Client and Vendor Support:
Provide support to clients and vendors, addressing inquiries, concerns, and requests.
Assist with client and vendor contracts, ensuring accurate doentation and record-keeping.
Coordinate with internal teams to ensure timely delivery of services and products to clients and vendors.
Maintain client and vendor contact information and records.
Event Support:
Assist the event planning team with logistical tasks related to event management. Coordinate event materials, supplies, and equipment. Assist with venue research, vendor coordination, and contract management.
Help with on-site event set-up, registration, and coordination as required.
Travel and Accommodation Coordination:
Assist with travel arrangements for employees, including booking flights,
accommodations, and transportation.
Coordinate travel itineraries and ensure compliance with company policies and
budgets.
Assist with visa applications and travel doent management.
Office Operations and Maintenance:
Assist in maintaining office operations by coordinating with facilities
management for repairs and maintenance.
Monitor and arrange for the servicing of office equipment and supplies.
Maintain office cleanliness and organization.
Team Support:
Provide administrative support to the team, including calendar management,
meeting coordination, and expense tracking.
Collaborate with internal departments to ensure effective communication and
workflow.
Confidentiality and Data Security:
Maintain confidentiality of sensitive information and adhere to data protection
and security policies.
Miscellaneous Tasks:
Assist with special projects, event planning, and other tasks as assigned by the
management team.
