Job Description

Daily activities of Transport Supervisor for overseeing the day-to-day operations of their company’s fleet of vehicles. They ensure that all vehicles are properly maintainedChecks and does a full detailed inspection of vehicles upon arrival and before delivery, fumigates vehicles and updates the system accordinglyCommunicating with dispatch to ensure that drivers have accurate information about their routesComplete all required for, purchase orders, bills of lading, manifests related to logistics activities and perform proper filing of doentation.Maintain procurement records from initial requisition through delivery and purchase order close out.Ensuring that company policies are followed regarding vehicle maintenance, accident prevention, fuel efficiency, and other driving practicesMaintain all records of company vehicles- Traffic Violation- Mulkia(Istemara) Expiry- Drivers in and out record- Maintain boss personal vehicles record- Family vehicles etc.Handling and maintenance servicing company vehicles- boss vehicles- family vehicles and physically check list before operate any equipmentsMaintain and handling JMP travels and solving problems from ROP.Daily activities report each day on daily bases understand the situation for workshop activities, summaries for all kind of work on multi brands vehicles-count inventories all tools and partsCheck the status of maintenance vehicles and repair work on servicingKeep all Company – Boss- Family records up to dateCoordinate incoming work with existing workloadGive concentrate of Walk-in customers vehicles, need repair or salesCommunicate with all drivers and take environment detail of daily routine of work.Knowledge for procurement – make LPO for orders- Contact with supplier- Environment take from marketmake reports for targe Knowledge of lubricantsMake recommendations regarding maintenance procedures when requestedWork within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities.Ensuring that the inspection schedule is followedSupervises garage personnel, including other supervisors; duties include planning,scheduling, organizing and directing workAccomplishes department and organization mission by completing related results as neededAssisting in the evaluation of all parts and materials used to maintain vehiclesMaintaining all records, preparing and sending report as per HOD requirement and controlling all function. Handle operations within the officeCoordinated with all logistic function and keeping all the records.Responsible for all inspection inspected and keeping informed to HODScheduling the work assignments of mechanicsMainta all required forms and written reportsMaintaining a complete record of vehicles, repairs, parts usage, parts and inventory at all times.Evaluating garage personal and performing other duties as assigned.HandlingProviding system reports, receiving doents and distributing doents and ensuring the accuracy of all doentation process.Preparing handling manua operating procedures, which help in training and day to day operationEnsuring that the inspection schedule is followedApprove the ordering of necessary goods and services.Finalize purchase details of orders and deliveries.Quickly learn about new in house database systemsSupervising the mechanics and assistants at that location.Coordinated with all logistic function and keeping all the recordsCheck all times sheets before submitting, Report any urgent or if any ordering requirement

PROFESSIONAL RESPONSIBILITIESSupervise and coordinate activities of assigned personnel.Fleet coordinators are responsible for managing the day-to-day operations of a company’s fleet of vehiclesThey ensure that all vehicles are properly maintained, they schedule regular maintenance appointments, and they may even help to coordinate emergency repairs if any of the vehicles in their fleet encounter problems on the road.Determine priority of work orders and their assignment to personnel; plan, organize and schedule work flow of employees as assigned; advise and assist assigned personnel; assure timely completion of work.Maintain records and reports as necessary.Conduct in-service training programs for employees with equipment suppliers for new techniques in mechanical repairs.Assist in the selection of new employees; train, supervise and evaluate assigned employees; recommend disciplinary action or promotion as appropriate; review completed work and provide feedback as necessary.Initiate requisition for materials and equipment; authorize purchases from local vendors; maintain adequate inventory of parts, equipment and supplies used in repairing and servicing motorized vehicles.Monitor tools, tool room equipment, maintenance and safety practicesEstablish and implement prudent shop safety policies and procedures.Tracking sales orders to ensure that they are scheduled and sent out on time.Effectively communicating with customers in a professional and friendly mannerOrdering and ensuring the delivery of goods to customersSpeaking with customers using clear and professional languageResponding to sales queries via phone, e-mail and in writingCarrying out administrative tasks such as data input, processing information, completing paperwork and filing doents.Booking of parcels and doents, to follow up the parcel and doents during transit, within country and out of country. Smooth incoming and outgoing consignments from storeMonitoring and ensure smooth and timely arrival of goodsKeep update weekly monthly report to Under government HODMaintain all drivers vehicles record in /outReceived another Parcel and Goods from Consignment Just like, Construction materials, Raw Materials, Spare Parts materials and dispatched the consignors.Responsible for development of busine the customer of marketing
