Job Description

• Receive and welcome visitors,
• Deal with all incoming, outgoing calls
• Provide general information and refer specific queries to concerned supervisors
• Maintain and updated list of contac directory of office colleagues at any given point in time.
• Distribute and handle all incoming and outgoing correspondence.
• Write a check official correspondence received and transfer to relative department.
• Inform colleagues regarding calls /queries received during h absence.
• Take and prepare minutes of meetings
• Manage all incomi couriers ensuring a proper registration and delivery to internal or external recipient.
• Liaison with the courier company and other service providers
• Manage office stationery supply and give requisition for purchase to Purchaser for items running low in inventory.
• Ensure recepti office area is in impeccable condition.
• Inform supervisor in case of any incide.
• Help to organize internal and external events (meetings, presentations etc.) in terms of accommodation, transport, catering etc.
• Maintaining record of visa & passport validity for all colleagues.
• Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange renewal or look for some alternatives.
• Organizing driver’s schedule for smooth operation.
• Any other tasks allocated by the Management
