Job Description

•Greet and assist visitors in a professional and friendly manner.
•Answer and direct incoming calls, taking messages when necessary.
•Manage the reception area, ensuring a neat and welcoming environment.
•Handle incoming and outgoing mail, packages, and deliveries.
•Assist in scheduling appointments and managing conference room bookings.
•Manage the owner's calendar, appointments, and travel arrangements.
•Anticipate the needs of the owner and proactively address them.
•Screen and prioritize emails, calls, and correspondence for the owner.
•Utilize strong communication skills to liaise with internal and external stakeholders.
•Proficiently handle email correspondence and draft routine memos and letters.
•Demonstrate a high level of professionalism and discretion in handling confidential information.
•Assist in organizing and coordinating office events and activities.
•Proven experience as a secretary, receptionist, or in a related administrative role.
•Provide administrative support to various departments, including data entry and doent preparation.
•Maintain office supplies inventory and place orders as needed.
•Collaborate with team members to coordinate meetings and events.
•Support HR functions such as onboarding new employees and maintaining personnel records.


•REQUIREMENTS:
•Proven experience as a receptionist or administrative assistant, with a minimum of 3 years in a similar role.
•Strong verbal and written communication skills.
•Proficient in using office equipment and software, including Microsoft Office.
•Exceptional organizational and multitasking abilities.
•Professional demeanor and excellent interpersonal skills.
•Ability to handle confidential information with discretion.
•Ability to handle a fast-paced work environment and adapt to changing priorities.
•Attention to detail and a proactive approach to problem-solving.
•High school diploma; additional qualifications in office administration are a plus.
