Job Description

Job Title: Secretary

Responsibilities:
1.Administrative Support: Provide general administrative and clerical support, including typing, filing, photocopying, scanning, faxing, and managing doents.
2.Communication: Answer and screen phone calls, take messages, and respond to inquiries via phone, email, or in-person. Manage correspondence, including letters, emails, and packages.
3.Scheduling: Coordinate appointments, meetings, and travel arrangements for executives or other staff members. Maintain calendars and schedule updates as needed.
4.Record Keeping: Maintain accurate and up-to-date records, databases, and filing systems. Organize and maintain paper and electronic files.
5.Meeting Support: Prepare meeting agendas, materials, and presentations. Take meeting minutes and distribute them to attendees.
6.Client Relations: Greet visitors and clients, direct them to the appropriate person or department, and provide assistance as needed. Handle inquiries and requests from clients or external stakeholders.
7.Office Management: Assist with the ordering of office supplies and equipment. Ensure the smooth operation of office equipment, such as printers, copiers, and fax machines. Coordinate office maintenance and repairs as needed.
8.Confidentiality: Maintain confidentiality of sensitive information and doents.
9.Team Collaboration: Work collaboratively with colleagues and other departments to support organizational goals and initiatives.
